Join Teams, Zoom, Webex or Google Meet meetings run by other businesses

Clients, suppliers and partners often invite you to meetings on their own Teams or on another platform such as Zoom, Webex or Google Meet. This guide helps you join without installing anything you don't need.

Before you join

  • Open the invitation a few minutes early, in case you're asked to install something or wait in a lobby.
  • Check the invite is genuine. Unexpected meeting invitations are a common phishing trick, especially ones that ask you to sign in or download a file. See How to spot a phishing email.
  • Have your headset ready and plugged in.

Teams meetings run by another organisation

  1. Select the Join the meeting now link in the invitation.
  2. Teams usually opens in the desktop app. If it opens a browser page, choose Join on the Teams app or Continue on this browser.
  3. You join as your normal work account, or as a guest. Depending on the other organisation's settings, you may need to type your name.
  4. On the pre-join screen, check your camera, microphone and speaker, then select Join now.

If Teams opens with the wrong account (for example a personal account), select your profile picture on the pre-join screen and switch to your work account, or join from a private browser window and enter your name.

Waiting in the lobby

Many organisations put outside guests in a lobby until someone in the meeting lets them in. You'll see a message like "Someone in the meeting should let you in soon".

  • Stay on the screen. It's normal to wait a minute or two.
  • If nobody lets you in after about five minutes, email or call the organiser.

Zoom, Webex and Google Meet

You don't need to install these apps to join. Joining from your browser works well and avoids installing software your organisation may not allow.

Zoom

  1. Select the meeting link.
  2. Cancel the prompt to open or download the Zoom app.
  3. Select Join from your browser (it may only appear after you cancel the download).
  4. Enter your name and join.

Webex

  1. Select the meeting link.
  2. Choose Join from browser (or Join from this browser) instead of downloading the app.
  3. Enter your name and email address and select Join meeting.

Google Meet

Google Meet runs in the browser with nothing to install. Select the link, enter your name if asked, and select Ask to join. Microsoft Edge and Google Chrome both work.

Tip

The first time you join from a browser, it asks to use your microphone and camera. Select Allow. If you clicked Block by mistake, select the camera or padlock icon in the address bar to change it.

Sound or camera not working?

Check you've picked the right devices on the pre-join screen. For more help, see Fix Teams audio and video problems. The same device and permission checks apply to other meeting apps.

Still stuck?

If you can't join a meeting from your work device, log a ticket. For anything urgent shortly before a meeting, call 1300 079 636.
