AI & automation

From your first Copilot licence to fully automated operations.

We help Australian businesses use AI properly: rolling out AI assistants your team will actually use, building custom AI agents and automations around how your business runs, and doing the security and compliance work first, so nothing goes live that you can't defend.

Why it matters now

AI is moving faster than security can keep up.

New models, tools and features arrive every week, and they're improving at an exponential rate. Security policies, compliance frameworks and most IT teams simply haven't caught up, which leaves businesses either frozen or exposed.

Shadow AI is already in your business.

If you haven't given staff approved AI tools, they're almost certainly using their own. Client documents, financials and passwords get pasted into free chatbots and browser add-ons that nobody has vetted, and you have no visibility of where that data ends up.

The market is full of wrappers and noise.

Thousands of "AI" apps are thin wrappers around the same few models, each with its own data terms, its own security posture and its own subscription. Picking the wrong one costs money, and it can cost you control of your data.

Compliance hasn't caught up yet.

Privacy obligations, client contracts and frameworks like Essential Eight and ISO 27001 still apply to AI, even where the guidance is thin. Getting it wrong is a breach, not an experiment, so the groundwork has to happen before the rollout.

What we deliver

From AI chat on every desk to end-to-end automation.

Start wherever you are. Some clients need a safe, governed rollout of AI tools for their team. Others want agents and automations that take whole processes off their staff's plates. Most end up doing both.

AI readiness assessment

Where your data lives, who can see it, what licensing you hold and which AI tools staff are already using. A clear starting point and a plan, before anyone switches anything on.

Workplace AI rollout & adoption

Deploying AI assistants across your team with the right permissions, data boundaries and settings, then running the adoption work so people use them for real tasks, not just novelty.

AI policy, governance & shadow AI

An acceptable use policy, an approved-tools list, data loss controls and monitoring that spots unapproved AI tools, so staff have a safe option and you have visibility.

Custom AI agents

Agents that answer from your own policies, procedures and documents, triage requests, draft responses and take approved actions in your systems, with every step logged.

MCP servers & AI skills

Model Context Protocol servers that give AI tools secure, permissioned access to your line-of-business systems, plus reusable skills that teach them how your business does things.

Workflow automation & RPA

Onboarding, approvals, invoicing, reporting and the repetitive admin in between, automated end to end. API-first, so automations are reliable and supportable rather than brittle screen-clicking.

Business system integrations

Connecting your CRM, accounting, ticketing, HR and Microsoft 365 through their APIs so data moves between them automatically and AI can work across all of it.

AI voice agents

Natural-sounding phone agents that answer calls, handle common questions, book appointments and hand over to a person with the full context when a caller needs one.

Staff training

Practical, role-based sessions on using AI well and safely: writing good prompts, checking outputs and knowing what must never go into an AI tool.

How an automation runs

Watch a workflow do the work.

Here's how an automation we might build into your business runs. A supplier invoice arrives by email, an AI agent reads it and checks it against the purchase order, anything over your approval limit goes to a manager, and the bill is entered, filed and confirmed without anyone re-typing a thing.

Execution log Run #1
  1. Invoice INV-2291 received from Harbour Freight Co, $8,420.00
  2. AI agent: matched purchase order PO-1187, amounts and line items agree
  3. Check: over the $5,000 limit, needs approval
  4. Approved by the finance manager
  5. Bill created in the accounting system, due in 30 days
  6. Invoice filed against the PO, supplier and accounts team notified

Illustrative example. Names, steps and timings are examples only, and every automation we build is designed around your own processes, systems and approval rules.

How we work

Due diligence first. Then we build.

Compliance is at the centre of how we deliver AI. Before anything is deployed, we look at your data, your obligations and the platforms involved, then tell you plainly what can be done safely and what we won't do.

  1. 1

    Discover

We map the processes worth automating, the data involved and the AI tools already in use across the business, approved or not.

  2. 2

    Due diligence

We review data flows, permissions, vendor terms and your compliance obligations, and give you a written view of what's safe, what needs guard rails and what's off the table.

  3. 3

    Design & prove

We design the agent or automation, agree the approval points and prove it on a small, low-risk pilot before it touches anything important.

  4. 4

    Build & deploy

We build to a fixed scope, with least-privilege access, logging and human approval built in, and deploy it into your environment.

  5. 5

    Handover & train

You get documentation, training for the people who use it and a clear owner for every automation, so nothing becomes a black box.

Our guard rails

What we will do, and what we won't.

AI can do a lot. Not all of it should be done. These are the lines we hold on every engagement.

We will

Build AI you can stand behind.

  • Check every platform's data handling and terms before recommending it
  • Use business-grade services with contractual data protections
  • Give agents the least access they need, and log every action they take
  • Keep a person in the loop for decisions that matter
  • Align to your frameworks, from the Privacy Act to Essential Eight and ISO 27001
  • Tell you honestly when AI isn't the right answer
We won't

Trade your data for a demo.

  • Put business data into consumer AI tools or unvetted apps
  • Connect AI to systems or data it doesn't need
  • Let agents act unsupervised on payments, HR or security decisions
  • Recommend a tool because it's new, popular or pays a commission
  • Deploy anything that would put you offside with your compliance obligations
  • Promise results the technology can't safely deliver
Why synfo

We live and breathe this, every day.

Our team are AI professionals and genuine enthusiasts. We build with these tools daily, test new models and platforms hands-on as they land, and cut through the wrapper and app noise so you don't have to. Because we're also a security provider, we look at every AI tool the way an attacker would, as well as a user.

What every AI project includes

The same delivery model, whether it's a policy or a fleet of agents.
  • Written due diligenceWhat's safe, what isn't, and why
  • Vendor-neutral adviceThe right model for the job
  • Fixed-scope statement of workScope, milestones and price up front
  • Least-privilege accessAgents only touch what they need
  • Human approval pointsPeople sign off what matters
  • Full loggingEvery AI action is traceable
  • Documentation & handoverNo black boxes

FAQ

Questions we get asked about AI.

Will our data be used to train AI models?
Not if we can help it. Part of our due diligence is checking each platform's data terms. We recommend business-grade services that contractually exclude your data from model training, and we tell you up front if a tool doesn't meet that bar.
What is shadow AI, and how do we deal with it?
Shadow AI is staff using AI tools the business hasn't approved, such as free chatbots or browser add-ons, often with company data. Banning AI rarely works. We combine an approved, safe alternative with a clear acceptable use policy, data loss controls and monitoring that shows which AI tools are in use.
What's the difference between an automation and an AI agent?
An automation follows fixed rules: when this happens, do that. An AI agent can read unstructured information, such as an email or a form, decide what it means and choose the next step. Most of what we build combines both: AI handles the judgement, automation handles the reliable, repeatable actions, and people approve anything sensitive.
What is an MCP server?
The Model Context Protocol (MCP) is an open standard that lets AI tools connect to other systems in a controlled way. An MCP server sits between an AI tool and, for example, your CRM or ticketing system, and defines exactly what the AI can read and do there, with permissions and logging.
Do we have to pick one AI vendor?
No. We're vendor-neutral and choose the model and platform that suits each job, your existing licensing and your compliance needs. Many clients use more than one, and we design things so you're not locked in.
How are AI projects priced?
As one-off projects, fixed-scope and fixed-cost wherever the requirements allow, agreed in a written statement of work after discovery and due diligence. Ongoing support can be added through a managed IT plan if you want it.
