Add a printer

Add a printer on Windows or Mac, and what to tell us if it won't print.

2 min read Updated WindowsmacOS

Most office printers can be added in a few steps once your computer is connected to the work network. Before you start, check whether the printer is already there: on many managed devices, synfo deploys your organisation's printers automatically.

Check if your printer is already set up

Open any document, select File > Print, and look at the list of printers. If the office printer is listed, select it and try printing. If you are new or have recently moved desks, give your computer a restart while connected to the office network, as automatically deployed printers often appear after you sign in.

Add a printer on Windows 11

  1. Make sure you are connected to the office network (Wi-Fi or cable), not a guest network.
  2. Open Start > Settings > Bluetooth & devices > Printers & scanners.
  3. Select Add device next to Add a printer or scanner.
  4. Wait for Windows to search, then select Add device next to the printer you want.
  5. If your printer isn't found, select Add manually and either browse for it or enter its address, if your office has given you one.

To make it your default, select the printer in Printers & scanners and choose Set as default. You may need to turn off Let Windows manage my default printer first.

Add a printer on macOS

  1. Connect to the office network.
  2. Open the Apple menu > System Settings > Printers & Scanners.
  3. Select Add Printer, Scanner, or Fax.
  4. Choose the printer from the list and select Add.
  5. If it doesn't appear, the IP tab lets you add it by address, if your office has one.

Note

On a managed device you may not have permission to install printer software yourself. If you are asked for an administrator password, stop and log a ticket rather than trying to work around it.

Quick fixes if it won't print

  • Check the printer itself: is it on, does it have paper and toner, and is there an error on its screen?
  • Make sure other people can print to it. If nobody can, it's a printer problem, not your computer.
  • Open the print queue and cancel any stuck jobs, then try again.
  • Restart your computer.

Still stuck?

Log a ticket and include the printer's name or location, whether other people can print to it, the exact error message (a screenshot helps), and whether you are in the office or working remotely. If printing is holding up urgent work, call 1300 079 636.
